Using BART Availability to Manage On-Site Operational Readiness

The Challenge

While BART did not include a dedicated check-in/check-out feature for Availability at the time, the organisation required a practical solution that could be implemented immediately without changing existing operational processes or software functionality.

The goal was to ensure officers had an accurate picture of Members on site who were available to respond.

The solution

Working closely with the customer, the BART team identified an alternative workflow using the existing ‘Set Availability’ feature within the BART mobile app.

Rather than introducing a new process, Members simply update their availability status when arriving on site to collect their keys and again when leaving at the end of their shift.

This approach allowed the organisation to use functionality already available within the platform while avoiding additional administration.

Recommended Workflow

When Members arrive on site:

  1. Open the BART mobile app
  2. Select Status from the menu
  3. Choose the appropriate Group
  4. Set their status to Available
  5. Select the number of days their availability applies
  6. Save their changes

When leaving the site, Members repeat the process and update their status to ‘Unavailable’.

This simple workflow provides officers with an up-to-date view of who is available to respond at any given time.

Based on the above workflow, the customer then produced posters to put up around the ERT shed and Admin areas:

The Outcome

By adapting an existing feature, the Wiluna Organisation were able to:

  • Improve visibility of on-site personnel
  • Reduce manual tracking of member availability
  • Provide officers with more accurate operational information
  • Implement a solution immediately without waiting for additional software development

Just as importantly, the customer’s feedback was formally submitted to BART’s product team for consideration in future platform enhancements, ensuring their operational requirements contribute to the ongoing evolution of the product.
